Your information
What we hold about your hitter, why we hold it, who else sees it, and how to have it removed.

Most of the athletes here are under eighteen. This page is written for
the parent or guardian, in plain language, and it describes what the
portal actually does — not what a longer document might promise.
What we hold
About your hitter
Name, date of birth, school and graduation year, travel team,
which side they bat from, and their portal login.
About you
Your name, email address, phone number, and your parent portal
login. Your email is what invoices and account notices go to.
Their training
Sessions booked and attended, credits bought and spent, what they
owe, game reports, weekly check-ins, journal entries, at-bats, extra
work logged at home, rest days, bat-sensor numbers and competition
reps.
Swing videos
Video they upload for review, and the written analysis that comes
back.
Messages
The conversation with the coach. There are two separate threads
— one with your hitter, and one for parents only.
Notifications
If you turn on alerts, a code identifying your device, so a message
can reach your phone.
Why we hold it
To run the training: to book and track sessions, to know what has been
paid for and what is owed, to coach your hitter and show you how they are
getting on, and to contact you. That is all of it. We do not sell
it, and we do not use it for advertising.
Who else sees it
The portal is built on services run by other companies. Each one only
receives what it needs to do its job:
Google Firebase
Hosts the site, stores the records above, handles logins and delivers
notifications to your phone.
Stripe
Takes payments. Card numbers go straight to Stripe and are
never stored on this site — the portal only records
whether a card is on file, not what it is. Stripe receives the name and
email the payment is for.
Anthropic
Swing videos are read by an AI to produce the written
analysis. The video and the hitter's bat-sensor numbers are
sent to Anthropic's service, which returns the breakdown the coach then
reviews and edits before anything reaches you. The same service drafts
the one-sentence note in your monthly update, from the coach's own
session notes. Nothing goes to a family until the coach has
read it.
Nobody else receives any of it.
Who can see it inside the portal
- The coach sees everything.
- Your hitter sees their own record, and their own thread with the coach.
- You see your hitter’s account — their sessions, their
credits, what is owed and what has been paid — their monthly
update, and the parents-only thread.
Your hitter cannot read the parents-only thread.
- Their training record is theirs, not yours. Game
reports, check-ins, journal entries, at-bats and swing videos are on
your hitter’s own login and not on the parent portal — the
coach’s decision, so a hitter can write honestly. Ask them, or ask
the coach.
- No family can see another family's anything.
How long we keep it
While your hitter is training here, and afterwards as part of the
business's records — a training history is the thing a coach looks
back at. We do not delete it automatically. If you want
it removed, ask, and we will.
What you can ask for
- To see it. Most of it is already on your parent
portal. Ask and we will show you the rest.
- To correct it. A wrong birthday, a misspelled name, a
session marked wrongly — tell us and we will fix it.
- To have it removed. We will remove your hitter’s
name, your contact details and their login, so nothing in the system
identifies them any more. Messages, journal entries, check-ins, game
reports, videos and anything written about them go. What is kept is
the training record as anonymous numbers — sessions, at-bats,
bat-sensor readings — with nothing attached that says whose it
was.
Sessions they already took stay on the coach’s schedule as an
hour that was used, with no name on it.
- To stop notifications. Turn them off in the portal,
or ask us.
Removal is done by hand, by the coach. We have not set a deadline we
might miss — ask and it gets dealt with.
Asking
Email thehittingmd1@gmail.com,
or send a message from the parent portal. Say what you want and which
hitter it is about.
If this page changes
The date at the top is when it last changed. If something meaningful
changes about what we hold or who sees it, we will tell families
directly rather than quietly editing this page.
